1. Data controller

2. Data protection contact
We have not appointed a Data Protection Officer at this stage. For any request relating to your personal data, write to oi.evawhcaoc@tcatnoc.
3. What data we collect
- Account & profile data — name, email address, phone number, business/professional information, timezone and language preferences.
- Usage & technical data — account activity, session/login data, and technical information needed to operate and secure the service.
- Content you enter — the client records, sessions, notes and tasks you create. Where you enter data about your own clients, you act as the controller for that data and are responsible for having a lawful basis to record it.
4. Why we process it (purposes)
- Providing the platform: accounts, client management, sessions, tasks, calendar.
- Support, security, fraud prevention and service reliability.
- Service communications (e.g. confirmation, password reset, session reminders).
5. Legal bases
- Performance of a contract — to provide the service you signed up for.
- Legitimate interest — to keep the service secure and to improve it.
- Consent — for any optional processing; you can withdraw it at any time.
6. Who receives your data
We do not sell your data. We share it only with processors acting on our instructions:
- Hosting: Scalingo SAS (servers located in France, European Union).
- Email delivery: our transactional email provider (LWS), to send service emails.
7. How long we keep it
Account data is kept for the life of your account and deleted, or anonymised, within 12 months of account closure, unless a longer period is required by law. Content you create is kept until you delete it or close your account.
8. International transfers
Your data is hosted in the European Union (France). We do not transfer personal data outside the EU. If that ever changes, we will rely on an approved safeguard such as the European Commission's Standard Contractual Clauses.
9. Your rights
Under the GDPR you have the right to:
- access your data and obtain a copy;
- rectify inaccurate data;
- erase your data ("right to be forgotten");
- restrict or object to processing;
- data portability;
- withdraw consent at any time, where processing is based on consent.
To exercise any of these, email oi.evawhcaoc@tcatnoc. You also have the right to lodge a complaint with a supervisory authority — in France, the CNIL.
10. Cookies
CoachWave uses only strictly necessary first-party cookies — for your session, authentication and security (CSRF protection) — and your interface preferences. These are required for the service to work, so no consent banner is shown. We use no advertising or third-party analytics cookies. If that changes, we will ask for your consent first.
11. Security
We use industry-standard measures to protect your data, including encryption in transit, access controls and regular backups. No system is perfectly secure, but we work to keep your data safe.
